Providing a good induction to your workers can seem like a hugely daunting task, particularly for smaller businesses that may not have the staff to manage the often in-depth process. But have no fear, Altora can help! An induction checklist is a fantastic way to get started and outline all of the applicable onboarding requirements for your organisation. This will help you immensely in taking those first steps towards a smooth onboarding process.

Why Use an Induction Checklist?

Induction checklists are necessary for streamlining the onboarding process. They ensure a smooth integration of new hires into the company culture and workflow and allow you to keep the process consistent while avoiding anything slipping through the cracks.

How to Create Effective Induction Checklists

What content should you include within your induction checklist? We’ve found many businesses we work with don’t know how to get started and easily get swamped within the process. Below, we’ve outlined the steps to develop an effective induction checklist for your company.

Step 1: Evaluate current induction processes:

How does your company currently orchestrate inductions? What are the steps involved? How is it managed? Where are the data and records stored? Collect all of this information to know exactly what your current flow is.

Step 2: Establish core areas to cover

Define the topics within your induction checklist. These might include:

Welcome to company:

First day/week introductions to the team, tour of the building, access codes.

Overview of organisational culture:

Company values, day to day operational info such as hours, holidays, sick days etc.

Alongside your general induction content, you are legally obliged to ensure your employees have been provided with and acknowledged legal documents, forms and information.

Here is a brief list of some of the key headers you might have within your induction checklists.

  • Employee rights and laws

  • Appropriate training

  • Anti-harassment, exclusion and discrimination

  • WHS procedures and regulations

  • Worker payroll, tax, benefits and inclusions

  • Privacy and data rights

  • Company culture information

  • Fair work obligations

  • Insurance obligations

  • Working arrangements and set up

Depending on whether you are curating an employee or induction checklist will dictate which of the above points are needed in which checklist.

IT set up

Communicate all login details, equipment overview and any other technology-related instructions.

Training

Provide training structure, format and expected completion time. For example, do you have PowerPoint presentations, videos or courses that you need your employees to complete?

Altora’s induction software provides you with an excellent, streamlined and user-friendly online induction solution that will save you a lot of time, money and administration when onboarding and training your workers. Easily create and upload courses, videos, documents, quizzes and more. Manage all of your induction requirements on one centralised platform.

Step 3: Ensure no gaps

Speak to departments such as IT, WHS, Managers and Training Facilitators to assess if any new starter induction information or gaps of knowledge are missing. If you don’t have a WHS department, you may wish to speak to an external Health and Safety Consultant to ensure your information is accurate and you’ve not missed any important steps.

Step 4: Induction Checklist format

Once you’ve established the full criteria for your induction checklist, it’s time to start curating the format and design. Ensure an easy to follow, aesthetically pleasing design that will allow a good user experience.

Aim to have the ability to tailor your checklists, depending on individual roles, working in specific sites or departments.

From minimal requirements for contractors to more in-depth employee induction checklists you can expand or contract them depending on the role and different stages of employment.

Step 5: Establish induction flow

Create a step by step format in a smooth, chronological flow. Avoid going overly-micro in detail, allowing for differences in job titles and functions. For ease, download Altora’s customisable induction checklist for free.

Step 6: Final checks

Conduct test runs of your induction checklist with associated departments. You may want to consult again with a WHS consultant to give your induction checklist the final tick of approval before going live.

Step 7: Ready to induct

You’re ready for your induction checklist to go live! As time goes on, you may spot changes or inconsistencies that you want to amend. It’s important to welcome feedback from new workers and employees being inducted, allowing your induction format to continually evolve and improve.

The other systems I’ve used are either learning and development-specific or induction-specific. But I find Altora to be a happy conglomeration of both, as well as a data collection tool. It’s basically a small CRM system with fantastic features. For example, Altora collects the data required, sets things in a specific order, and has an easy to use dashboard.
